To add a task, we open Tasks -> Add New Task. On this page, we can see fields where we need to enter basic task information (e.g., name, description ...), choose the task type from the dropdown menu, then select the date and time by which the task should be completed, add any sub-tasks (optional). At the top right part of the page is a very important element (attribute) when adding a task. Here we choose what this task is related to, and the options are: general, related to a contact, related to a property, and lastly, related to an opportunity. After that, we determine the priority and task status, and finally, assign the task to an employee. That user will automatically receive an email notifying them of a new task in the system.
{primary.fa-info-circle} Pay attention when adding a task to the option 'Related to'. This will affect adding items to the timelines of properties, contacts, or both!
If the option 'Related to' is chosen as general, then this task will not affect anyone's timeline. If 'Related to a property' is selected, we will get the option (dropdown menu below) to choose which property we mean. After completing this task - when the status becomes completed, it will initiate adding an item to the timeline for that property of the type of the task (e.g., phone call, meeting, etc.) and with a description which will be the task summary. Similarly, the same will happen if 'Related to a contact' or 'Related to an opportunity' is selected. The only difference is that when opportunity is chosen, an item will be added to the timeline for both the property and the contact connected to that opportunity, which is logical.
To view tasks in a board format (kanban), we open Tasks -> Board View. On the board, tasks are displayed in the form of cards, and their status can be changed by "dragging" the card from one column to another. Each column has a description (name), i.e., a status it represents. Each card represents a task with all relevant information. By clicking on a card, a window opens on the right side where we see the complete task with sub-tasks, property description, contact, and everything related to the task. Sub-tasks can be marked as completed. Additionally, each task can be commented on and queries related to task execution can be made. Commenting on a task triggers sending an email to the person responsible for the task, as a notification that the task has been commented on. At the bottom of the window on the right side, there is also a field for entering the task summary which should be filled out by the person who completed the task. This will also be entered in the timeline item when the task is completed. At the top, task filters can be seen based on the expiration date.
{primary.fa-info-circle} Generally, each system user sees only their tasks (assigned to them). In role and permission settings, there is an option View all tasks. Users with this permission will see the button Show all tasks at the top, and all tasks will be displayed (the user's and those of all other users).
To view tasks in a table format, we open Tasks -> Table View. In the table, tasks are displayed in rows, and their status can be changed by clicking on the appropriate button in the row which are of the type "Move to ...". Everything else is similar to the board view.
